Daniel Plaisier is the legal supplier, controller and invoice issuer. Roy Plaisier may lead Dutch communication and creative collaboration and may handle call requests assigned to him under Daniel's authority, but is not a separate supplier or controller under the current structure.
2. Data we may process
Depending on your relationship with Studio ERA22, this may include:
- your first name, last name and email address;
- an optional telephone number and website address;
- company, project and business-identification details, including a business registration number and registration country;
- a project note or other information included in an enquiry or call request;
- the selected host, requested date and time, booking status and any reschedule or cancellation reason;
- communication history, including booking receipts, confirmations and cancellations;
- proposals, contracts and approval records;
- invoice and payment-reference information;
- project files, content and access details you provide;
- technical and security records generated when the website or connected services are used.
Please do not include unnecessary sensitive information, passwords or confidential access credentials in a general enquiry or booking note.
3. Why we process data
We may process personal data to:
- respond to an enquiry or call request;
- show availability, prevent scheduling conflicts and manage a pending request;
- review whether a requested call fits the Studio ERA22 B2B scope;
- confirm, reject, reschedule or cancel an introductory call;
- create a confirmed calendar event and online meeting link;
- prepare a proposal or take steps requested before a contract;
- create, deliver and support agreed work;
- manage project communication and approvals;
- issue invoices and meet legal or accounting obligations;
- maintain website and service security;
- establish, exercise or defend legal claims;
- communicate about an existing professional relationship.
The legal basis for an enquiry or call request is normally taking steps at your request before entering into a contract. Existing-client communication may be necessary to perform a contract. Scheduling administration, security, fraud prevention and prevention of duplicate or abusive bookings may rely on legitimate interests. Legal obligations apply where required. Consent will be used where the law requires it, including for optional website technologies if they are introduced.
4. How enquiries and call requests work
The written enquiry helper prepares your message in your browser. Your entered details remain on the page until you choose email or WhatsApp. The website does not submit or store that written enquiry through a Studio ERA22 server.
When the booking function is used, the details you enter and the selected host, date and time are sent to Cal.com to create a call request. The selected time is not a confirmed appointment. It remains pending until Daniel or Roy manually confirms or rejects it.
A pending request blocks the selected Cal.com slot so that it is not offered to another visitor. It is not added to the host's Google Calendar and no Google Meet link is issued before confirmation.
After manual confirmation, Cal.com creates the confirmed booking, adds the event to the selected host's Google Calendar and provides a Google Meet link. The participant receives a separate confirmation. Rejected, rescheduled and cancelled requests may generate corresponding service messages.
A call request does not create a contract, confirm a project, reserve production capacity or guarantee that Studio ERA22 will accept the requested work.
5. Cal.com, Google Workspace, Calendar, Meet and other services
Studio ERA22 uses Cal.com as the hosted scheduling provider. Cal.com processes the booking details needed to provide availability, pending requests, notifications, confirmations, cancellations and related security functions. Under the applicable service and data-processing terms, Cal.com may act as a processor for Studio ERA22 and may separately process limited account, usage, security or service data for its own purposes described in its privacy information.
Cal.com is connected to the relevant Studio ERA22 Google Calendar. Cal.com states that its availability check uses only free/busy information and does not access or store calendar event titles, descriptions, locations or other event details.
Studio ERA22 uses Google Workspace for business email. After a booking is manually confirmed, Google Calendar stores the event details and participant information needed for the appointment, and Google Meet provides the online meeting link. Studio ERA22 configures custom booking notes so they are not included in shared calendar event details. They remain available in the scheduling and email records needed to review the request.
If you choose WhatsApp, data is transferred to a Meta service under that provider's own terms and privacy information.
Some providers, group companies or subprocessors may process data outside the European Economic Area. Where required, transfers are based on an adequacy decision, standard contractual clauses or another lawful safeguard. Further information about relevant providers and safeguards is available on request.
External project links and visitor-selected applications operate independently from Studio ERA22.
6. Website access and technical records
The website, hosting infrastructure and connected scheduling services may process information required to deliver, operate and secure the service, such as:
- IP address;
- date and time;
- requested page or booking route;
- browser and device information;
- request status, error and security events;
- limited service and diagnostic records.
The relevant providers may process technical records required to deliver and secure their services under their own terms and privacy information.
7. Retention
We generally keep records for the following periods:
- enquiries and call requests that do not become a project, including rejected or cancelled requests: up to 12 months after the request or the last meaningful contact;
- unaccepted proposals: up to 12 months after expiry or the last meaningful contact;
- confirmed call records that become part of a client, project or contract relationship: generally 5 years after the project or Care relationship ends;
- client communication, project and contract records: generally 5 years after the project or Care relationship ends;
- accounting records: for the period required by Czech law, normally 5 years from the end of the relevant accounting period;
- records needed for a legal claim: for as long as the claim or relevant legal period remains active;
- technical hosting, security and provider records and backups: until they are overwritten or deleted through the provider's normal operational cycle or retained for a legal obligation.
Studio ERA22 removes or anonymises records under its control when the relevant period ends, unless Czech law, accounting obligations, security needs or an active legal claim require longer retention.
8. Recipients
Data may be shared only where necessary with:
- Daniel Plaisier as controller and legal supplier;
- Roy Plaisier for Dutch or English call requests assigned to him under Daniel's authority;
- Cal.com as scheduling and notification provider;
- Google Workspace, Google Calendar and Google Meet for email, confirmed calendar events and online meetings;
- communication, hosting and infrastructure providers;
- accounting and professional advisers;
- project suppliers or technical providers approved for the relevant work;
- public authorities where disclosure is legally required;
- Meta / WhatsApp when you choose that route.
Studio ERA22 does not sell personal data.
9. Your rights
Depending on the circumstances, you may have the right to:
- request access;
- request correction;
- request deletion;
- request restriction;
- object to processing based on legitimate interests;
- receive data in a portable format where applicable;
- withdraw consent at any time where processing is based on consent;
- lodge a complaint with the Czech Office for Personal Data Protection.
A request can be sent to daniel@studioera22.com.
10. Required information
For a call request, first name, last name, email address, business registration number, registration country and project note are required. Telephone number and website are optional. The required details are used to identify the requester, perform the B2B review and administer the request. Without them, Studio ERA22 cannot process the call request.
Other information may be required to answer an enquiry, prepare a proposal, enter into a contract or meet invoicing obligations.
11. Manual review and automated decisions
Availability, conflict checking, notifications and slot blocking are automated scheduling functions. Acceptance or rejection of a call request is a manual decision by Daniel or Roy.
The booking workflow does not make decisions producing legal or similarly significant effects solely through automated processing.
Any future AI guide, pricing calculator, payment function or materially different scheduling integration will receive a separate privacy review before deployment.
12. Changes
This notice may be updated when the website, services, providers or legal requirements change. The current version and date will remain available on this page.
